Job description
The Event Services Coordinator serves as a key liaison with clients and internal stakeholder groups (F&B, Lodging, Maintenance, Security, Parking, etc departments) by effectively maintaining various communication skill sets. This position provides administrative support, works on special projects as assigned and is proactive and responsive in a timely, friendly, tactful and professional manner.

ESSENTIAL DUTIES & RESPONSIBILITIESÂ (include the following, other duties may be assigned)
Ability to fulfill all duties included in Customer Service Agent and Guest Services Agent as well as Supervisors’ job descriptions; completes these and other tasks as assigned by accomplishing the following duties:
- Works closely with DOS, DOL and Catering Director.
- Books and coordinates catering details for smaller in-house meetings and events.
- Maintains an active trace/follow-up system for all incoming calls and daily job duties.
- Responsible for becoming fully versed in all event spaces, facilities and resort amenities.
- Organizes and maintains filing system of current and past clients.
- Keeps internal teams promptly and fully informed of all unusual matters or potential problems so corrective action may be implemented as needed.
- Utilizes current BEO software to accurately block event spaces, set client traces and generate Banquet Event Orders (BEOs).
- Collects, organizes, copies and distributes banquet event orders.
- Utilizes current lodging software to check lodging availability, secure lodging room blocks, enter rooming lists, etc.
- Generates complete and accurate daily event schedules and reader boards.
- Works with room layout software to provide detailed visual confirmation for clients.
- Generates Group Resumes for all hotel events.
- Responsible for being informed of conference center, base facility and Group Sales office agendas.
- Generates complete and accurate function agenda, calendars and reader boards.
- Prepares and maintains weekly reports such as weekly resume agenda.
- Meets and works alongside clients throughout the duration of their events.
- Attends and participates in all required meetings.
- Arrives at scheduled work time, with a neat professional appearance appropriate for corporate or wedding clients.
- Remains available to hotel colleagues via email while on property.
- Generates amenities requests and inputs traces in appropriate CRM database tools.
- Upsells full complement of resort activities to include Waterpark, Ice Haus, Golf, Hiking, Tram, Concerts, etc.
- Completes post-event recap/feedback forms in a timely fashion.
- Other duties as assigned, which could be directly related, or unrelated to original position.
